Stock is cash sitting on shelves. For most small businesses in Pakistan it is the biggest asset, yet it is often managed by memory. Good inventory management means fewer stock-outs, less dead stock and more cash available for growth.
Here are twelve practical tips you can start using this month.
1. Start with an accurate count
Every improvement depends on knowing what you have today. Do a full stock count once, record it as your opening stock and fix any duplicate or missing items in your product list.
2. Give every item a code
Use manufacturer barcodes where available and generate your own for loose or local items. Codes make billing faster and counting accurate. Try our free barcode generator.
3. Record every movement
Stock changes with sales, purchases, returns, transfers and damage. If any of these is not recorded, stock drifts away from reality. A POS that updates stock on every bill and purchase removes most manual work.
4. Set reorder levels
For each fast-moving item, decide the minimum quantity before you reorder. Base it on how much you sell in the time a supplier takes to deliver, plus a small safety buffer.
5. Count a little, often
Instead of one big annual count, count one category or rack every week. Over a month you cover the whole stock without closing, and errors are caught early.
6. Investigate every difference
When a count differs from the system, find out why: unrecorded sales, wrong receiving, damage or theft. Record adjustments with reasons so patterns become visible.
7. Track batches and expiry
For food, cosmetics and medicines, record expiry dates when goods arrive and sell the earliest first. Check near-expiry lists weekly.
8. Find and clear dead stock
Items that have not sold in 90 days block cash and space. Bundle them, discount them or return them to suppliers where possible, and stop reordering them.
9. Separate godown and shop stock
If you keep stock in more than one place, record it by location and move it with transfer notes. Otherwise you may buy more of something already sitting in the godown.
10. Compare supplier rates
Keep a history of purchase prices. When a supplier raises rates, you will see it immediately and can negotiate or switch.
11. Limit who can adjust stock
Only trusted staff should edit stock or approve adjustments. Activity logs show who changed what.
12. Review stock reports monthly
Look at stock value, best sellers, slow movers and shrinkage every month. Small regular reviews prevent large surprises.
Choosing inventory software
Look for live stock, barcodes, multiple locations, batches and expiry, reorder alerts, mobile counting and reports on your phone. SoftBar's inventory management system and stock management module are built for Pakistani businesses.
Inventory for different businesses
Retail shops focus on fast billing and reorder alerts. Pharmacies need batches and expiry. Restaurants track ingredients through recipes. Wholesalers manage godowns and cartons. Manufacturers track raw materials, work in progress and finished goods. Choose methods that fit your type.
The ABC method
Classify items: A items are the few that make most of your sales value, B items are moderate, C items are many low-value items. Count and watch A items most closely, B items regularly and C items less often. This puts effort where it matters.
Working with suppliers
Agree delivery times, minimum orders and return policies in writing. Reliable suppliers let you keep lower stock without risking stock-outs.
